Digitizing Work Orders and Client Reporting

A simple internal platform replaced a mostly paper-based workflow with centralized time tracking, reporting, and automated email delivery.

I developed a work order management system for WM Servicios Informaticos, a company that provides accounting software and ongoing technical services to its clients. The platform allows employees to record their work and gives administrators the information needed to prepare and send client reports.

Context

Work performed for clients was previously recorded on paper. At the end of each month, employees had to read every work order, calculate the accumulated hours manually, and prepare reports for each company.

This process took several days and made it difficult to quickly understand how much time was being spent on each client, employee, or type of service. The company needed a straightforward system that employees could adopt without adding unnecessary complexity.

Approach

I built a web application with React and Node.js, using Turso SQLite for data storage and Vercel for deployment. Employees can log in and record the client, service date, start and end times, transportation time for on-site work, and a description of the task performed.

The system includes user and administrator roles. Regular users can register their work, while administrators can access reports and filter records by client, month, or employee responsible for the service.

Reports are displayed directly in the platform and can be exported as PDF files. Administrators can also send those reports to clients by email without leaving the system.

The implementation prioritized simplicity over technical complexity. Since the main challenge was replacing an established paper workflow, the interface and data-entry process were kept direct and familiar.

Outcome

The platform is used by six employees and manages approximately 100 work orders per month. Around 70% of services are now recorded directly in the system, while the remaining paper records are later entered into the same centralized database.

Preparing monthly reports was reduced from several days of manual work to a few hours. The company can now generate consistent client reports, export or email PDFs, and access statistics for hours worked by employee, month, and client.

The system also created a reliable operational record for future analysis. Instead of relying on scattered paper documents, administrators can quickly understand where the team’s time is being spent and which clients require the most attention.
